Rebuilding the foundation across finance, stock, sales and HR

Challenge

What did Medex's finance and inventory setup look like before the rebuild?

Zoho Books and Zoho Inventory were out of step, with stock forced back into line by manual journals rather than matching by design. The two systems were drifting apart and being patched by hand rather than reconciled at source.

What was wrong with the underlying chart of accounts?

The chart of accounts itself was wrong, and opening balances were misstated on top of it. Every report inherited the error, so nothing built on that foundation could be trusted regardless of how it was presented.

How was the sales pipeline being run?

Through a spreadsheet, with quotes priced against stock information that had often already moved by the time the quote went out. Nothing was tracked centrally, and pricing accuracy depended on how current the spreadsheet happened to be.

How was HR being administered?

By hand - leave, records and approvals were all handled through paperwork rather than a system. Routine HR requests consumed staff time that should have gone to work requiring actual judgement.

Why did these four problems need to be addressed together rather than separately?

Because Zoho Books, Zoho Inventory, Zoho CRM and Zoho People all fed into the same operation. Fixing the accounts without fixing inventory would have left the reconciliation problem in place; fixing sales without a corrected inventory feed would have meant quoting against numbers that still couldn't be trusted.

Medex — Challenge
Solution

What was rebuilt first, and why?

The chart of accounts and opening balances were rebuilt first. Every report inherits from that base, so getting it right before layering anything else on top was the precondition for the rest of the engagement.

How was the disconnect between Zoho Books and Zoho Inventory resolved?

Zoho Books was reconciled to Zoho Inventory so transactions post once, correctly, across both. The manual journals that were previously forcing the two into agreement are no longer needed.

How does Zoho CRM now support the sales pipeline?

Zoho CRM gives Medex a pipeline visible end to end, with every deal tracked rather than sitting in a spreadsheet. Quotes are built on live stock and live pricing, so they're priced right the first time.

How was HR administration changed?

Zoho People replaced the paperwork with an employee self-service portal - leave requests, attendance and approvals are now routed and recorded digitally, with everything held in one place rather than in paper trails.

How do the four Zoho modules work together for Medex?

Zoho Books, Zoho Inventory, Zoho CRM and Zoho People now sit on one data spine centred on Medex, rather than operating as four disconnected systems patched together by manual work.

What happened to manual journal entries after the rebuild?

Manual journals were eliminated - 100%. Books and Inventory now agree without anyone forcing the numbers into line by hand.

How many modules were involved in the rebuild, and what does that mean for Medex?

Four modules - Books, Inventory, CRM and People - were rebuilt as one connected system rather than four separate tools each carrying its own version of the truth.

What changed in the finance function specifically?

The chart of accounts is corrected, opening balances are accurate and decision-grade from day one, and the general ledger - revenue, cost of goods, stock assets, payables, opening balances - now balances.

What changed in sales?

The pipeline is visible end to end, from lead to quote to negotiation to won, with quotes priced against live stock and live pricing rather than a spreadsheet that could already be out of date. Sales performance is now measurable rather than simply reported.

How much was HR admin workload reduced by?

HR admin workload is down 70%. Leave, attendance, approvals and records now run through employee self-service, freeing HR for the judgement calls that actually need a person.
